Choose a source for every entry
Use the complete notice or dated account information for the concern at hand. Retain labels describing components and add a reference to any supporting transaction or return record. If you calculate a working total, show the items and assumptions involved. Keep uncertainty visible when records do not match or a source is missing. The purpose is a view that can be checked against original evidence, with annotations identifiable as your preparation notes rather than new account findings.
Prepare the question that remains after the view
Write whether the next discussion concerns an instruction, account accuracy, payment difficulty, or financial review. Explain which record could clarify the gap and what information is already available. During a call, ask about relevant requirements and the scope and fees of any proposed assistance. Confirm the recipient and secure method before transmitting sensitive material. When new information becomes available, note what changed so a later tax debt discussion can use the current facts.
